Update on Enterprise Search Plugin Upgrade for US and EU Customers

Hello Moveworks Community.


In January, we announced a major Search upgrade - the introduction of the new Enterprise Search plugin, starting with a rollout in the US and EU data center regions, and enabled opt-in early access. Thanks to everyone who tried out the new plugin in early access! Early feedback has been positive for the experience, including more comprehensive answers and citations.
 

Update to rollout timeline: Progressive rollout starting Tuesday, March 3 over the next 8 weeks
Why: We have been gradually onboarding a few early adopter customers, and carefully analyzing how the new search services are scaling with hundreds of thousands of new users. Our goal is to progressively scale up our infrastructure with the rollout to make sure that all users have a great experience as they are onboarded.
We will monitor the performance and will move faster as soon as we are confident that we are well set up to manage the scale.

What happens next for US customers?
We will be progressively rolling out access to all customers in the US region over the next 8 weeks, starting March 3. This is a longer timeline than we had initially communicated but based on our analysis, we decided to progressively scale up our infrastructure with the rollout to make sure that all users have a great experience as they are onboarded.

  • We will reach out with an email to you when we are ready to onboard you, via switching your organization's search plugin to enterprise search plugin.
  • You will have at least 1 week's advance notice before we make the change.
  • If you are interested in making the switch earlier, please let us know and we will try to onboard you sooner!

What happens next for EU customers?

EU Rollout Update (March 11): We are starting our rollout in the EU on March 17, and expect to complete it by Wednesday, March 25.

Hi everyone. Thank you for your patience as we worked on bringing a set of impactful new capabilities and enhancements to Moveworks Search!

We will be proceeding with the rollout of Enterprise Search plugin for US and EU customers next week, with completion targeted by April 15:

Update 1: Enterprise Search plugin rollout

  • EU: All customers will be enabled on April 7
  • US: Progressive rollout starting April 7 and completing on April 15


What's changing As previously shared, we're migrating AI Assistant to a new Enterprise Search (ES) plugin with an upgraded, scale-ready search and relevance system.
Why / the benefits

  1. The new plugin can search across millions of documents, delivering more relevant answers for your employees.
  2. This upgrade also delivers better relevance quality and more reliable results for all non-English speaking users. Employees will automatically see results prioritized for their locale and query language with no special setup required.
  3. It simplifies how language and geo controls work, rather than admins manually configuring boost settings and users having to explicitly set a preferred language, both become native ranking signals.

What do admins need to know? No action required. Existing manual language and geo boost settings will no longer be needed. These controls will be retired as part of this update as both will become native ranking signals.
 

Change to end-user experience Users will notice more relevant results and broader content coverage. Results will automatically uprank content based on the user's language and location, while not eliminating relevant content across other languages. No changes needed from employees. Users may occasionally see relevant results in a language other than their preferred language.

Customers in other regions (AU, CA, GovCloud): Rollout dates coming later this week.

Hello,

 

I am curious how this will work exactly once implemented. We have limited search scope defined by domains today. Do we have to do any reconfiguration to take advantage of the update to search all of SharePoint and other information repositories?

Hi ​@mthame. This change does not introduce any changes to the content you have connected to your Moveworks assistant. It unlocks capabilities such as being able to search all of your Sharepoint. Please reach out to your account team to learn more. 

 

Just curious - how many Sharepoint documents do you have? You can find this in the Sharepoint Admin Center homepage under Sharepoint file activity. Thanks!

How can I confirm if my environment was updated or not? :)

@RochaR I think the easiest way will be to look at the plugins used in Analytics. Once you are migrated to the new plugin you will see “Enterprise Search” replace “Knowledge Base” as the plugin that your employees are using to find knowledge. 

Below is an example screenshot of the plugins used and Enterprise Search has replaced Knowledge Base as the top plugin used. This is the default view in Analytics found under AI Assistant → Overview and in the “What plugins did the AI Assistant use to assist employees?” dashboard.

Does this change have any impact to the types of connectors that can be used for search ie does content outside of sharepoint, servicenow etc still require using content gateway?

Hello @rraj, to answer your question we have 10,759,233 docuemnts on SharePoint, but it looks like active files are only 24,000.

Hi ​@rraj, how will this look in the UI for customers to ingest content without utilizing domains? It looks like from the docs you just add the folder / relevant repository https://docs.moveworks.com/ai-assistant/enterprise-search/configure-enterprise-search

@mrukavina You can see the list of content connectors that we support here on our Docs site: https://docs.moveworks.com/ai-assistant/enterprise-search/content-integrations

Also, domains are not required for setting up content ingestion with the new max capacity connectors. Each connector has a separate setup journey, so depending on what connector you use, the requirement for specifying a domain or not can vary.

Thank you ​@mthame ! When you say active documents, do you mean the documents accessed recently within your Sharepoint instance? If so, what is the time frame you are looking at?

@RochaR Another way to check whether you have this change enabled is to go to AI Assistant > Plugin Management in Moveworks Setup, and look at the field for Enterprise Search plugin. If this is set to TRUE, the plugin is enabled for everyone in your organization.
