HR Leave/FMLA Inquiries & Proactive Notifications

We recently rolled out the HR domain in our organization, and our HR team has raised a concern about inconsistent experiences when users ask our bot questions regarding FMLA or leave of absence. Currently, we have a form for LOA inquiries, but there’s no way to establish a metadata list or logic framework to ensure compliance with federal requirements. Specifically, we are concerned about the potential risk of violating federal law, which mandates that an employee’s eligibility must be provided once they inquire about leave.

 

We’d like to see a proactive logic or rule list that would trigger an admin notification (in this case, to HR) whenever specific keywords or phrases related to FMLA/leave are detected. This would allow HR to review the bot’s response and take appropriate action if needed.

We believe this capability could extend beyond HR-related inquiries and improve user experience and compliance in other domains as well. I’d love to hear your thoughts and suggestions on how to address this need in the short term.

hi ​@DIANA.TWC - here’s the response from our engineering team: “As the bot is merely a way to find knowledge or forms, it isn’t (as of right now) expected to address an FMLA request directly. This would be the same as an employee searching for the FMLA form within your ServiceNow portal”

@DIANA.TWC - have you considered setting up keyword notifications in Teams for this?

Here’s a detailed guide on how to set this up:Using Power Automate

  • Access Power Automate:Go to the Power Automate website and log in with your Microsoft account.
  • Create a New Flow:Click on "Create" from the left sidebar.
  • Choose "Automated cloud flow".
  • Set the Trigger:Search for the Microsoft Teams connector.
  • Select the trigger called "When a new message is added in a channel" or "When keywords are mentioned".
  • Specify the team and channel you want to monitor.
  • Define Keywords:In the trigger settings, you can specify the keywords you want to monitor. Enter them separated by commas.
  • Add an Action:After setting up the trigger, add an action to send a notification. You can choose to send an email, a message in another Teams channel, or even push notifications directly to your device.
  • Test Your Flow:Save your flow and test it by sending messages containing your specified keywords in the monitored channel.
  • Monitor Notifications:You will receive notifications based on your configuration whenever the keywords are mentioned in the designated Teams channel or chat.
